ICE’26 – Amsterdam (November 11-13, 2026)
0. DEFINITIONS
Organizer: Yachtmaster Group, Jadranski skiperi d.o.o., (VAT ID: HR04890438022), Croatia.
Exhibitor: Any SELLER company registered to participate with an exhibition booth.
Visitor: SELLER or BUYER company registered with a Visitor Pass only.
Participant: Exhibitor or Visitor collectively.
Expo: International Charter Expo (ICE)
List Price: The official published booth or pass price on the ICE website and official pricelist, before any discounts.
Contracted Price: The price agreed in the signed contract or accepted offer, including any applicable discounts.
ICE Webshop: The official online registration, obligatory for all participants.
Controlling Language: In case of conflict between the Croatian and English versions of these T&C, the English version prevails.
1. GENERAL PROVISIONS
This participation contract/registration is binding upon submission. By signing or submitting registration, the Participant confirms participation in the Expo and accepts all terms, conditions, and deadlines of the Organizer. The signatory confirms they are duly authorized to represent the named company. These T&C are governed by the laws of the Republic of Croatia. Any amendments to these T&C will be communicated in writing with reasonable notice. The version in force at the time of registration applies to each Participant.
2. REGISTRATION
Sector Classification:
1. Charter Company (CC) / Fleet Operator (FP) / Central Agent (CA) / Charter Manager (CM): All synonyms. Category SELLER. Owns or manages charter yachts and/or holds yachts in central booking, offering agency commission to retail brokers.
2. Charter Broker / Travel Agent: Category BUYER. Mediates charter without owning/managing yachts and without offering goods or services to the industry. Sailing clubs, tour operators, and sailing schools may fall under this sector.
3. Supplier: Category SELLER. Offers goods and/or services to the yacht charter industry.
Companies operating across multiple sectors can be classified by the Organizer. Companies with yachts in any booking system belong to the Charter Company sector, no matter if they also have an agency role. All registered companies must maintain an operational website reflecting their business model.
Registration Process: Submission of a registration or signed contract constitutes a written agreement on the use of exhibition space or Visitor Pass. The Organizer reserves the right to accept or reject any application within 30 days of submission, notifying the Participant accordingly. Any pre-payment made prior to rejection will be refunded in full within 14 days, less applicable bank transfer fees. Each online registration via ICE webshop requires Organizer approval. Exhibitors must complete online registration through ICE webshop as well as contract signing. Exhibition space and passes are non-transferable and non-subleasable. Violation will result in exclusion from the Expo without refund.
SELLERS may register as Exhibitors or Visitors.
BUYERS may participate as Visitors only.
Loyalty Discount: Discounts offered in contracts signed at the preceding ICE edition (ICE’25) are valid for the next edition (ICE’26), provided the Exhibitor purchases a booth by the deadline stated in the contract. Exhibitors may only display products they manufacture or for which they are authorized dealers, limited to items listed in the application. A list of intended exhibits must be submitted to the Organizer at least 14 days before the Expo for approval.
3. EXHIBITION SPACE
The Organizer offers furnished or unfurnished exhibition space. Additional equipment may be ordered through the Organizer or an Organizer-approved third party (written approval required).
Technical Standards: Maximum height of all exhibiting materials is 2.5 meters. Exhibitors furnishing their own space must notify the Organizer via ICE Webshop or email and await written approval of contractors and methods within 14 days of request submission.
Delivery: All exhibits must be delivered at least 12 hours before the official Expo opening. If not delivered within this period and no written explanation is provided, the Organizer may reassign the space. In such cases, the Exhibitor remains liable for 50% of the Contracted Price for the full Expo duration, plus reasonable costs of clearing the space. This replaces the previous full-fee charge and is designed to reflect actual organizer loss.
Booth Position: Exhibitors must reserve their booth on the official floor plan (expofp) within 7 days of submitting their ICE Webshop order. Failure to do so may result in automatic position assignment by the Organizer. The Organizer
adjust booth position or form for technical reasons and must notify the Exhibitor before the Expo begins. If the change is material (e.g., size reduction or significant relocation), the Exhibitor may cancel with a full refund of amounts paid. Booths are built from uniform all-in-stand construction with lighting, electric sockets, and carpeting. Walls are fabric. The Organizer does not guarantee specific aesthetic quality of standard equipment.
4. CANCELLATION OF PARTICIPATION
Before March 15, 2026: Free cancellation.
After March 15, 2026 until June 1, 2026: 50% of Contracted Price (booth/pass)
On or after June 1, 2026, 100% of Contracted Price (booth/pass)
The cancellation fee is calculated on the Contracted Price (inclusive of agreed discounts), not the List Price.
Force Majeure for Participants: If a Participant is prevented from attending due to a government-imposed travel ban, national emergency, or other force majeure event beyond their reasonable control, the Organizer will assess cancellation requests on a case-by-case basis and may offer a credit toward the next edition in lieu of a cash refund. The Organizer will make reasonable efforts to re-sell vacated booth space. If successfully re-sold, the cancellation fee charged to the original Exhibitor will be reduced proportionally.
5. PRICES, CONDITIONS & PAYMENT TERMS
Prices are listed in EUR and payable per the proforma invoice. VAT is applied per Croatian and EU VAT regulations. Reverse charge applies to EU-registered companies outside Croatia (per čl.17.st.1 of the Croatian VAT Act). Non-EU companies should confirm their VAT status with the Organizer.
Price Lock: Once a contract is signed or an offer accepted, the agreed price is fixed and will not be subject to unilateral change by the Organizer. The published price list (subject to Eurostat HICP adjustment) applies only to new registrations.
Payment Deadline: All financial obligations must be fulfilled by November 1st of the expo year. Participants who have not settled all obligations by the start of the Expo will not be permitted to participate.
Discount Validity: To retain any offered discount, 50% of the Contracted Price must be paid by the deadline stated in the proforma invoice (latest by June 1, 2026). Failure to meet this deadline will result in the discount being revoked and a revised invoice issued at List Price.
Late Payment Interest: In accordance with the EU Late Payment Directive (2011/7/EU), the Organizer reserves the right to charge statutory interest on overdue amounts from the due date.
6. CHANGE OF DATES AND VENUE
Postponement: If the Expo is postponed by up to 6 months, Participants are not entitled to cancel or claim compensation. The Organizer will notify all registered Participants promptly of the new dates. If the Expo is postponed by more than 6 months, Participants may cancel and receive a full refund of amounts paid, less bank fees.
Venue Change: If the venue changes by more than 150 km from the originally announced location, Participants may cancel with a full refund of amounts paid, less bank fees. Refunds will be processed within 30 days of the cancellation request.
Full Cancellation: In case of full Expo cancellation by the Organizer, all Participants are entitled to a full refund of amounts paid, less bank transfer fees, processed within 30 days.
Force Majeure (Organizer): The Organizer shall not be liable for failure to hold the Expo due to circumstances beyond its reasonable control, including but not limited to pandemic, government prohibition, natural disaster, or venue unavailability, wars etc. In such cases, the Organizer will offer Participants a credit toward the next edition or a partial refund at its discretion.
7. INSURANCE
Insurance of exhibits is the sole obligation of the Exhibitor. The Organizer is not liable for damage, loss, or theft of property within the exhibition area.
Exhibitors are strongly recommended to obtain public liability insurance covering third-party injury or property damage arising from their booth activities. Any damage caused to the Organizer, venue, or third parties by the Exhibitor or their staff will be the Exhibitor’s financial responsibility.
Exhibitors handling flammable, hazardous, or otherwise dangerous materials must comply with all applicable EU and local safety regulations, including relevant fire safety and venue-specific requirements, and must notify the Organizer in advance.
8. EXPO WORKING HOURS
Opening hours: 9:00 a.m. – 6:00 p.m., November 11–13, 2026. Exhibitors and Visitors may access the hall 30 minutes before opening and 30 minutes after closing. Exhibitor representatives must be present in their booth at least 15 minutes before opening and may not leave before 15 minutes after closing. Early departure is not permitted. Early graphics removal from the walls is not permitted as well as removal of the booth furniture before the end of the expo working hours. If an Exhibitor vacates their booth before the official closing time without prior written approval from the Organizer, an additional charge 1/4 list price of the booth will be charged. The Organizer may extend opening hours on one day of the Expo, with advance notice to Exhibitors.
9. DIRECT SALES, PRESENTATIONS & OTHER EVENTS
For direct sales, the Exhibitor must obtain all legally required approvals and submit a product list to the Organizer for written approval in advance. All presentations, catering arrangements, or other events within the exhibition space must be announced to the Organizer in writing at least 14 working days before the first day of the Expo. The Organizer will confirm approval or rejection within 5 working days of receipt. Private parties within the leased exhibition space are not permitted during or outside Expo hours, unless explicitly approved in writing by the Organizer. For the avoidance of doubt, a “party” means any event primarily social in nature open to non-registered attendees. Hosted client receptions within the booth, limited to registered Expo participants, may be approved upon written request.
10. OFFICIAL PASSES
Official passes are issued in the name of the registered individual and are non-transferable. Passes may not be shared, lent, or used by any person other than the named holder. In case of abuse, the Organizer may permanently revoke the pass and remove the individual from the Expo without refund. Entry to the Expo is permitted only to holders of a valid pass. SELLERS not exhibiting may register with a Visitor Pass, subject to Organizer approval. Registration and per-representative participation fees apply as per the official price list.
11. MATCHMAKING SOFTWARE
Meetings at ICE are pre-arranged using the official matchmaking software Handshake. At least one matchmaking account per company is required. Company and representative profiles must be completed in full before the meeting arrangement period opens. Email addresses entered in ICE Webshop must be unique per representative. The Organizer is not responsible for no-show meetings or errors arising from incorrect information entered during registration. Participants are encouraged to contact the Organizer promptly if they identify data entry errors that may affect their meeting schedule.
12. BOOTH EXTRAS
12.1 Furniture – The Organizer will deliver all furniture ordered during ICE Webshop registration before the official Expo opening. Due to supplier constraints, the Organizer reserves the right to substitute furniture of equivalent function (which may differ in color, style, or size). Where a substitution is made, the Organizer will notify the Exhibitor in advance where reasonably possible. The Organizer may charge the Exhibitor the catalog replacement cost for any furniture damaged during the Expo.
12.2 Graphics are printed on fabric. The Organizer will print, deliver, and mount ordered graphics before the official Expo opening, provided files are submitted on time and in accordance with the graphic guidelines.
Deadline for ready-to-print files: Latest by September 15, 2026 – via link provided by ICE and DECORIGINALS. If files are not submitted by the deadline or do not meet the graphic specifications, the Organizer cannot guarantee timely printing and installation. A cost-recovery surcharge of €500 ex VAT will apply to cover the additional costs of expedited processing for late submissions. This surcharge reflects actual additional costs incurred and is not a punitive penalty.
Reuse of Previous Graphics: Exhibitors may reuse personalized fabric panels from the prior ICE edition. A handling fee applies: 50% of the price of the new printed graphics, applicable for each booth type (single, double or premium).
These fees apply only if graphics fabrics are delivered to Decoriginals BV no later than October 15, 2026. Late delivery will incur a 100% surcharge on the above fees.
Delivery address: Decoriginals BV, Attn: ICE 2026, De Bloemendaal 3, 5221 EB ’s-Hertogenbosch, Netherlands (Clearly mark exhibitor name and stand number on all packages.). Neither the ICE Organizer nor Decoriginals BV is responsible for the quality of reused materials. Graphics for Single and Double booths are optional. Graphics for Premium and custom booths are mandatory. If a printing error occurs on the Organizer’s side, new graphics will be produced and installed as soon as possible at no additional cost to the Exhibitor. Exhibitors wishing to retain their graphics must collect them by 6:30 p.m. on the final day of the Expo. Uncollected graphics will be recycled.
13. PHOTOS, AUDIO & VIDEO RECORDS
The Organizer may photograph and make audio/video recordings within the Expo venue for the purposes of press coverage, marketing, social media, and archival use. These recordings may feature exhibition spaces, booths, and general Expo activity.
Where recordings may capture identifiable individuals, the Organizer relies on the legal basis of legitimate interests (Art. 6(1)(f) GDPR), balanced against participants’ reasonable expectations in a professional B2B event setting. Participants who do not wish to be individually featured in published materials should notify the Organizer’s staff on-site, and the Organizer will make reasonable efforts to accommodate such requests.
Exhibitors may photograph and record within their own booth space. Recording in other exhibitors’ spaces or common areas requires prior written consent from the Organizer.
Promotional materials may only be distributed within the Exhibitor’s own leased space. Materials found outside the assigned booth will be removed by the Organizer. No materials, products, or items may be left in corridors or passageways.
14. CLEANING OF EXHIBITION SPACES
The Organizer is responsible for cleaning common areas, passages, and entrances. Cleaning of individual booths is the Exhibitor’s sole responsibility.
Booth cleaning services may be ordered from the Organizer in writing. The fee is €40.00 per m² (ex VAT), calculated on the total booth surface. If the Organizer’s cleaning team identifies significant mess or contamination within a booth, the Organizer will document this (with photographs) and arrange cleaning at the Exhibitor’s expense.
At the end of each Expo day, Exhibitors must bag their waste and place it beside their booth before leaving. All booths must remain clean and presentable during opening hours.
15. BROKER SURCHARGE
A surcharge of €250.00 (ex VAT) is charged to each Charter Company to contribute to subsidizing Charter Broker / Travel Agent participation costs. This surcharge reflects the Organizer’s commitment to maintaining a balanced and productive B2B ecosystem at ICE. This article does not apply to Suppliers.
16. ADDITIONAL SERVICES
Additional services available to Exhibitors and Visitors are listed in the official ICE price list, available on the ICE website. Prices for additional services apply to new orders and are subject to change. Contracted prices remain fixed per article no.5.
17. DATA PROTECTION & GDPR
Data Controller: Jadranski skiperi d.o.o., (VATID: HR04890438022), Croatia is the Data Controller for all personal data collected through the ICE webshop platform and Expo registration process.
Data Processed: Name, company name, email address, job title, phone number, and other registration details provided during the ICE webshop registration process.
Legal Basis for Processing:
Contract performance (Art. 6(1)(b) GDPR): Processing necessary to manage registration, issue passes, and facilitate matchmaking.
Legitimate interests (Art. 6(1)(f) GDPR): Internal analytics, event management, and fraud prevention.
Consent (Art. 6(1)(a) GDPR): Direct marketing communications. Consent is obtained separately and may be withdrawn at any time.
Data Retention: Personal data will be retained for a maximum of 5 years after the last Expo attended, unless a longer retention period is required by law or the data subject requests earlier deletion.
Data Subject Rights: All registered individuals have the right to:
Access their personal data (Art. 15 GDPR)
Rectify inaccurate data (Art. 16 GDPR)
Erase their data (“right to be forgotten”) (Art. 17 GDPR)
Restrict processing (Art. 18 GDPR)
Data portability (Art. 20 GDPR)
Object to processing based on legitimate interests (Art. 21 GDPR)
Withdraw consent for marketing at any time, without affecting prior processing
To exercise any of these rights, contact: info@internationalcharterexpo.com Supervisory Authority: Participants have the right to lodge a complaint with the Croatian Personal Data Protection Agency (AZOP) at www.azop.hr, or with the supervisory authority in their country of residence.
Third-Party Sharing: Jadranski skiperi d.o.o. will not share personal data with third parties for their own marketing purposes. Data may be shared with service providers acting as data processors (e.g., platform vendors, venue operators) under appropriate data processing agreements.
International Transfers: Where personal data is transferred outside the EEA, the Organizer will ensure appropriate safeguards are in place in accordance
with Chapter V of the GDPR.
18. FINAL PROVISIONS
Governing Law: These T&C are governed by and construed in accordance with the laws of the Republic of Croatia.
Jurisdiction: In case of dispute arising from non-compliance or differing interpretation of these T&C, the parties agree to submit to the exclusive jurisdiction of the Courts of Zagreb, Croatia.
Dispute Resolution: Before initiating court proceedings, the parties agree to attempt resolution through good-faith negotiation or, if agreed by both parties, through a recognized mediation body in Croatia. This is encouraged in line with the EU ADR Directive (2013/11/EU).
Severability: If any provision of these T&C is found to be invalid, unlawful, or unenforceable by a competent court, that provision shall be modified to the minimum extent necessary to make it enforceable, and the remaining provisions shall continue in full force and effect.
Entire Agreement: These T&C, together with the signed contract or accepted registration form, constitute the entire agreement between the Organizer and the Participant regarding participation in the Expo and supersede all prior oral or written representations.
Amendments: The Organizer may update these T&C for future editions of ICE. Registered Participants will be notified of material changes in writing. The version accepted at the time of registration governs each Participant’s agreement.
